Saint Michael’s Harrogate 10K, 5K and Littlies Run, Terms and Conditions

(Effective as of 23 October 2025)

Definitions:

  • Event: Saint Michael’s Harrogate 10K, 5K and Littlies Run, a charity event organised by North Yorkshire Hospice Care
  • Participant: Individual registering for the event.
  • Registration Fee: Non-refundable fee paid by Participant upon registering.
  • Charity: North Yorkshire Hospice Care, registered charity no. 518905.
  1. Registration Policy

1.1. By registering, Participants agree to these Terms and Conditions. 1.2. The Registration Fee is non-refundable under all circumstances, including event rescheduling or cancellation due to force majeure. 1.3. Participant transfers are permitted up to two weeks before the event; a written request must be emailed to supportercare@saintmichaelshospice.org. 1.4. Registration is subject to availability, and on-the-day registration cannot be guaranteed. 1.5. All registrants under 18 must be accompanied by a responsible registered adult whose contact information must be provided.

  1. Sponsorship and Fundraising

2.1. Sponsorship forms and fundraising instructions are provided upon registration. 2.2. All sponsorship funds are due by 15 April 2026, payable directly to North Yorkshire Hospice Care. 2.3. All raised funds benefit North Yorkshire Hospice Care and its patient care services.

  1. Health, Safety, and Medical Conditions

3.1. Participants undertake this event at their own risk and by registering to take part in the event they confirm that they are fit to do so. It is recommended that Participants consult their doctor before the event if they have health or medical concerns. 3.2. Participants consent to medical treatment if necessary. Information about medical conditions must be shared with the event organiser at registration and any medical information will be passed to medical services on the day and included on the back of a participant’s race number. 3.3. All participants under the age of 16 must be accompanied throughout the route by a supervising adult who is registered for the same event. 3.4. Due to potential hazards along the route, the route is not suitable for wheelchair users and trail buggies. Visually impaired participants must be accompanied by a responsible individual. 3.5. Dogs are allowed to spectate but must be kept on a lead and remain outside certain venues. Dogs are not permitted to take part in the run. Participants must clean up after their dogs.

  1. Conduct During the Event

4.1. All Participants must wear their provided event identification throughout the run. 4.2. Instructions from event organisers and volunteers must be followed at all times for safety. 4.3. Alcohol and smoking are prohibited; Participants under the influence of alcohol will be prohibited.

  1. Event Cancellation or Rescheduling

5.1. The Charity reserves the right to modify the event date, time, route, or format if required due to adverse weather, health risks, or other unforeseeable circumstances. 5.2. In case of force majeure leading to cancellation or rescheduling, the Registration Fee remains non-refundable and shall be donated to Saint Michael’s Hospice.

  1. Liability and Insurance

6.1. Participation is at the sole risk of each Participant. North Yorkshire Hospice Care is not liable for death or any personal injuries, loss, or damages unless due to its own negligence. 6.2. Participants are responsible for their own insurance to cover personal risks associated with participation. 6.3. North Yorkshire Hospice Care is not liable for actions taken by spectators or third parties during the event.

  1. Use of Personal Data and Image Rights

7.1. Personal data provided by Participants will be processed according to GDPR and solely for the event organisation. For the full privacy policy, visit www.saintmichaelshospice.org. 7.2. By participating, Participants consent to being photographed or filmed for promotional purposes. Should Participants object, they must notify the charity beforehand.

  1. Governing Law

8.1. These terms and conditions are governed by English law, and any disputes will be settled in the English courts.
